(Part-time & Seasonal)  

AdminBooks, Inc is a fast-growing, paperless accounting firm near San Jose, CA.  We serve businesses and individuals with bookkeeping, payroll, tax preparation and tax planning services.

ADMIN FOR TAX DEPARTMENT =  We have a job opening for an entry-level office assistant to work remotely Monday through Friday January thru April 2025.  Hours will be varied, starting out 5 hours a week and building up to about 25 hours a week.  This person needs to be able to jump from task to task during our fast-paced tax season and have an eagle eye for details.  No tax knowledge required!

Skills required for both admin positions:


Efficiency of different online programs, communicates well verbally and written format, is process oriented, take initiative and offers solutions, meets all deadlines, replies to clients in 24 hours or less, humble, hungry, must be super comfortable on the computer typing a minimum of 65 wpm, able to move quickly between programs and quickly learn new technologies, able to recognize priorities and meet deadlines, capable of multi-tasking many small tasks, good with people, vigilant about the details, and desires to be a part of something larger than themselves.


The right administrative assistant  will:

 

  • Update projects in software
  • Email clients to schedule appointments
  • Collect/Save documents and email clients to confirm receipt
  • Print documents to PDF
  • Follow up with clients via email, text and phone calls
  • Support the tax admin during busy tax season
